UPV / EHU renews Scorecard and Reporting Maintenance Solutions with BITAM

País Vasco University / Euskal Herriko Unibertsitatea (www.ehu.es), comprised of  more than 50,000 individuals, is responsible for 95% of the research taking place in the Basque Country and has already generated more than 250,000 graduates in the most diverse areas of knowledge. Distributed in three campuses, one from each of the historical territories of the current Basque Autonomous Community, the University brings together 31 colleges and schools.

The UPV / EHU Center for Information Management (IGC) executes support functions such as development, maintenance and operation of all applications that are needed in the University management. This department has used the Bitam tools since 2005 to facilitate panel management and reporting throughout the UPV organization.

The information management system developed with BITAM provides organization-wide operational and management aspects in teaching and quality, as well as what’s strictly related to internal management.

According to Javier Cundín Estefanía, Director of the Center for Information Management, "With Bitam, we have developed tools to quickly and easily use a series of panels that have allowed our users immediate access to large numbers of personalized information. In addition, we have been able to export data to common office tools in an easy and intuitive way."

Below is an example of how the Bitam Business Intelligence application has been successful at the university:  

Prior situation

1. Significant number of requests was processed for information, and similar features from different users.
2. Transactional systems and increasingly heavy demands complicated and penalized performance.
3. The sources of the information requested were different because the university enterprise applications were developed in different environments.
4. There were no uniform criteria to define the calculation of indicators. Each user required different rules.

Based on previous experience we developed a table of command using the Bitam Artus Tool, in which we addressed all the necessary information in the academic area of the University of the Basque Country.

We met with a committee of users and set the criteria for the indicators and the different dimensions required.

Next step, we created several modules. Each module consisted of several cubes; in that way we addressed all the phases of the academic administration of the University (Bid teaching pre-registration, access, grade records, records of degrees, graduate records, scholarships and management of securities).

Current Situation

1. Users are organized into groups with different levels of privilege.
2. Users have full autonomy to get the information needed immediately in a fast and convenient way.
3. Users can export the information in a simple manner to the most common office tools (Excel, Word, etc.)..
4. Subsequently, through the Papyrus tool, users can easily obtain the reports they need with complete independence from central IT management.
